Atribuțiile:
Assessing building maintenance issues by conducting weekly walks of the building and recording the findings. Using the Amazon auditing system to print reports to show client trends of common issues throughout the building. This is part of a process that the client uses throughout EMEA (Walk the Store)
Working with the Office Services Coordinator to address internal space requirements and to organise/assist with team moves. Meeting with the Department Heads quarterly with the Facilities Manager and ensuring all growth requirements for Space are managed accordingly
Managing internal moves within the building with the Facilities Manager
Working with OSC to maintain floor plans
Suggesting cost saving plans to the client in order to be in line with the Account Leadership Principles.
Monitoring stock levels of Stationary and Consumables used by Employees and placing orders with suppliers. Negotiating prices with vendors to obtain the best price
Assisting with meeting room set-up as and when required
Working with the Meetings and Events team and assisting in setting up in house and external events as and when required.
Working with the Building Ops team and reporting all defective H&S equipment to the respective person and arrange for repairs to be carried out
Managing fire wardens and first aiders and assist with scheduling training and refresher training as necessary
Provide cover for Reception desk as and when required
Be available to assist other FM Team members as and when required
Upkeep and review of Manuals, Handbooks, Guidance notes etc. that relate to all Facilities functions and be responsible of uploading onto Fusion
Working on Special projects as and when required with the Facilities Manager
Be familiar with & operate to the Scope of Work as defined in the Master Agreement
Understand the operational & technical requirements of the site and ensure that current contracts are maintained to provide necessary supplies and services
Review and spot-check to ensure that suppliers/service providers are meeting contractual obligations to the client
Ensure that the site is well maintained and correctly furnished/stocked to operate to maximum efficiency
Ensure that detailed floor inspections are routinely conducted
Ensure that an effective Work Order system is maintained for rectification of any defective items/services & ensure that these are addressed in a timely manner
Ensure routine testing of Audio Visual equipment functionality; maintain & repair as required
Coordinate Audio Visual equipment team is performing all proactive tests according to standard and per client needs
Ensure all working environments meet all requisite HS&E Standards
Ensure site passes all HS&E audits or inspections
Ensure smooth running of meetings&/or events at the site
Assist with Business Unit relocation's or ‘ad hoc’ projects
Assist with critical out-of-hours issues & participate as a key team member in responses to emergency situations, by acting as first person of contact for any out-of-hours issues
Provide backup support for the account team members in times of absence
Liaise closely with the client on-site representatives to address problems and/or enhance working environment performance
Clearly document & communicate all client expectations to the balance of the FM team
Work collaboratively with facilities team colleagues both within the Account & in the wider JLL network
Provide assistance in general administrative activities and any other duties as assigned by the country Site Leader or Senior Account Management on a upon need basis
Development and management of systems and procedures for settling the regional operating budgets, tracking and reporting the spending in accordance to the contractual requirements
Support deployment of global or regional initiatives proactively collaborating with dedicated team members
Lead the Employee Experience program in the managed office by both redeploying regional initiatives and by proactively implementing new ones
Car fleet – lead site activities and ensure operational team delivers all needed activities in a proactive manner
